About The Role
We are hiring in our IT Team.
As our IT Office Administrator, you will be supporting the global IT team in managing our fantastic office and people in the heart of Soho.
You will work with all of the team across the IT Department, utilising the skills of various team members to achieve the necessary outcomes and helping build an engaging and efficient office service.
Much of the role is working alongside internal stakeholders, so clear communication skills, attention to detail and experience working in a busy environment is a must.
- Manage the procurement for all software and systems licenses, this experience is crucial to the success of this role.
- Be the main point of contact for all office management needs working closely with the team and other departments
- Manage the ordering process for all software and licencing, IT equipment, peripherals, (quote requests, raising POs, invoice approvals and queries)
- Manage and maintain the IT software inventory and maintenance agreements of all IT assets
- Manage and maintain strong working relationships with suppliers, vendors team members, and any other departments across M&C Saatchi
- Co-ordinate appointments and meetings with key suppliers and vendors including service reviews, contract discussions and problem resolution
- Own the governance of the Chief Information Officer’s calendar ensuring meetings are set up and requests for meetings scheduled
- Assist with departmental and group projects
- Work closely with the IT management team in defining goals, tasks and resource requirements
- Assist with group and local IT projects to help the business move forwards, maintaining excellent communications with the IT Management team on all tasks and projects
- Follow processes to ensure that a high quality of service is provided to both internal and external customers
- Working with IT Management, negotiate with stakeholders to manage deadlines and expectations
- Effectively and accurately communicate relevant project information to the IT project team
- Keep senior IT Management and others informed about project status and issues
- Assisting the team with Starters and Leavers process, ensuring all relevant accounts and IT equipment is in place
About You
- Good communication, influencing and negotiating skills
- Solid relationship management and performance management skills
- Ability to motivate and direct team members
- Strong understanding of the organization’s goals and objectives
- Excellent written and verbal communication skills
- Excellent Microsoft Office Skills especially Excel
- Excellent customer service skills
- Ability to retain information quickly
- Ability to present ideas in user-friendly language to non-technical staff and end users
- Keen attention to detail
- Proven analytical and problem-solving abilities
- Ability to effectively prioritize and execute tasks in a demanding environment
- Experience in working in a team-oriented, collaborative environment.
- Project Management and ITIL experience are desirable.
