Team Assistant
M&C Saatchi Social are currently looking for a highly organised and proactive Team Assistant to join us working as part of a team to oversee an exciting and in-demand list of talent. The ideal candidate will have excellent communication skills and the ability to multitask in a fast-paced environment.
What you’ll do:
- Manage gifting enquiries for talent, liaising with the team and talent over requests.
- Generate talent and company snapshots alongside the Growth Manager.
- Request and collect end-of-campaign statistics for agents/agencies.
- Manage and maintain internal spreadsheets, including talent addresses.
- Maintain the company database of contacts.
- Create regular content and manage the upload schedule across group Instagram's (including posting at least once a day and birthday posts).
- Book travel and accommodation for talent meetings and events.
- Book all meetings and meeting rooms.
- Handle general office administration, including lunches, ordering supplies, and post room requests.
- Follow a broad range of competitor and unsigned talent across social media, offering insights and opportunities on competitor activity.
- Manage an events diary, open opportunities to the team, and attend events as requested.
- Source contacts for the team for proactive requests.
- Stay aware of all social talent activity.
- Carry out invoicing administration and maintain Netsuite submissions.
- Manage incoming enquiries for talent across the roster and distribute opportunities to the relevant agents.
- Implement updates to the company website and rosters, ensuring stats remain up to date monthly.
- Handle all admin associated with onboarding new talent.
- Accompany talent to events and content commitments.
- Collate insight and demographic stats from talent regularly.
- Distribute a weekly update to the team.
- Create links and affiliates for the team and collect data into the internal system.
- Develop new systems, trackers, tools, and documents to assist the team with project management and internal admin tracking.
- Receive guests and monitor post (collection and distribution, maintaining a log).
- Assist the Managing Director, Head of Talent, and Head of Operations as needed.
- Perform day-to-day ad hoc duties for the team as required.

- Proficiency with Outlook, Google and Microsoft applications
