Cerchiamo una persona organizzata, precisa e riservata con forte attenzione ai dettagli, che si occupi delle attività di reception e del supporto operativo all’ufficio, garantendo sempre ordine, efficienza e un’eccellente presentazione degli spazi aziendali.
Responsabilità principali:
Reception & accoglienza
Accoglienza ospiti e clienti garantendo sempre professionalità, ordine e ottima presentazione della reception
Gestione del centralino e smistamento chiamate
Gestione della corrispondenza in entrata e in uscita (email e posta)
Supervisione costante dell’ordine delle aree comuni (reception, sale riunioni, phone booth)
Organizzazione ufficio
Prenotazione e gestione delle sale riunioni
Preparare le sale meeting prima degli incontri e riordinarle al termine
Coordinare catering, coffee break e lunch per meeting ed eventi
Gestione ordini e stock delle forniture ufficio (cancelleria, caffè, materiali di consumo, carta stampanti)
Coordinare spedizioni e corrieri
Organizzare piccoli interventi di manutenzione
Supporto organizzativo e al management
Supporto nell’organizzazione di workshop ed eventi interni (allestimento reception, materiali, catering)
Gestire modulistica e costi operativi dell’ufficio
Supporto alle attività amministrative di base
Gestione agenda Amministratori Delegati
Organizzazione viaggi (treni, voli, hotel) in autonomia e con agenzie esterne
Coordinamento trasferte per management, clienti e shooting
Requisiti:
Esperienza minima di 2 anni in ruolo analogo (Front Office/Office Coordinator)
Ottima conoscenza della lingua inglese (scritto e parlato) – requisito essenziale
Ottima conoscenza del pacchetto Microsoft Office

ABOUT THE ROLE
We are looking for a highly organized, detail-oriented, and discreet Front Office & Office Coordinator to manage reception activities and provide operational support to the office. This role is key in ensuring a well-ordered, efficient workspace and maintaining an excellent presentation of company areas at all times.
Key Responsibilities
Reception & Front Office
Welcome guests and clients with professionalism, ensuring a tidy and well-presented reception area
Manage incoming calls and route them appropriately
Handle incoming and outgoing correspondence (email and post)
Maintain the organization and appearance of common areas (reception, meeting rooms, phone booths)
Office Coordination
Book and manage meeting rooms
Prepare meeting rooms ahead of meetings and reset them afterward
Coordinate catering, coffee breaks, and lunches for meetings and events
Manage office supplies and stock (stationery, coffee, consumables, printer paper)
Coordinate shipments and couriers
Organize minor maintenance interventions
Organizational & Management Support
Support the organization of internal workshops and events (setup, materials, catering)
Manage office-related documentation and operational costs
Provide basic administrative support
Manage the calendars of the Managing Directors
Arrange travel (trains, flights, hotels), both independently and with external agencies
Coordinate travel logistics for management, clients, and production shoots
Requirements
Minimum 2 years of experience in a similar role (Front Office / Office Coordinator)
Fluent in English (written and spoken) – essential
Strong proficiency in Microsoft Office
