M&C Saatchi World Services US is seeking a highly organized and detail-oriented Events Coordinator. This role supports the planning, coordination, and execution of stakeholder engagements, conferences, workshops, and special events, ensuring seamless logistics, participant readiness, and operational excellence while helping deliver high-quality audience experiences that advance communications, outreach, and mission objectives.
THE ROLE
M&C Saatchi World Services is seeking a highly organized and proactive Events Coordinator to support outreach, stakeholder engagement, and community relations initiatives across a diverse portfolio of programs.
Working closely with communications, stakeholder engagement, outreach, and event teams, you will help coordinate engagement activities, maintain stakeholder information, track outreach opportunities, and support the successful execution of community engagement programs. You will play a key role in ensuring engagement efforts remain organized, consistent, and aligned with broader communications and stakeholder engagement objectives.
The ideal candidate combines strong organizational abilities with excellent communication skills and a collaborative approach to relationship management. They are comfortable coordinating across multiple teams, managing competing priorities, and supporting programs that connect organizations with diverse stakeholder communities.
This is a hybrid role; however, the ideal candidate will live in the District of Columbia, Maryland, and Virginia (DMV) region.
Key Responsibilities
Support the coordination and execution of community engagement, outreach, and stakeholder relations initiatives.
Maintain stakeholder databases, engagement directories, contact records, and community relationship information to ensure accuracy and accessibility.
Manage engagement calendars, speaking opportunities, outreach activities, and stakeholder engagement schedules.
Track emerging engagement opportunities and provide updates, summaries, and recommendations to internal teams and leadership.
Coordinate speaker logistics, briefing materials, biographies, talking points, and supporting documentation for community engagement activities.
Develop engagement briefs, background materials, stakeholder summaries, and pre-event informational resources.
Support the preparation of reports, updates, dashboards, and communications related to engagement activities and stakeholder interactions.
Collaborate with communications, outreach, event, and stakeholder engagement teams to ensure alignment across engagement initiatives.
Assist with event coordination, participant communications, registration activities, and logistics support when required.
Maintain engagement records, documentation, and operational processes to support effective program management and reporting.
Ensure stakeholder information, outreach activities, and engagement data are accurately documented and maintained.
Contribute to the continuous improvement of engagement processes, workflows, and stakeholder management practices.
Key Attributes
Experience supporting community engagement, stakeholder relations, outreach, communications, marketing, public affairs, or event coordination activities.
Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
Excellent written, verbal, and interpersonal communication skills.
Experience leveraging digital event technologies, virtual engagement platforms, and AI-enabled tools to enhance event delivery and audience experiences.
Curiosity in technology landscape and how AI is changing communications.
Experience maintaining schedules, calendars, stakeholder records, databases, or engagement tracking systems.
Ability to build positive relationships with stakeholders, partners, and cross-functional teams.
Strong attention to detail and commitment to accuracy, documentation, and follow-through.
Experience preparing briefing materials, stakeholder communications, reports, or engagement documentation.
Strong administrative, coordination, and problem-solving capabilities.
Ability to work effectively in collaborative, fast-paced environments with evolving priorities.
Experience supporting communications, outreach, stakeholder engagement, or community relations programs is preferred.
Familiarity with stakeholder engagement principles, outreach strategies, and community engagement best practices is preferred.
Experience supporting federal government, public affairs, or mission-driven programs is preferred.
Ability to obtain and maintain a U.S. Government security clearance, as required by the position.
Degree or relevant experience in Communications, Public Relations, Marketing, Sociology, Community Relations, Public Affairs, Nonprofit Management, or a related field preferred.
